What My Wed Hub is, how to create a wedding workspace and what to do first.

What is My Wed Hub?

My Wed Hub is an all-in-one wedding planning platform. Each wedding lives in its own workspace containing the guest list, the seating plan, tasks, the wedding-day timeline, meetings, vendors, budget, documents, the Idea Vault and the Wedding Visualizer.

The value is that these modules are connected: guests you add can be seated, RSVP answers update guest records, vendors feed budget planning, and meetings roll up into the Workspace Agenda across all your weddings.

How do I create a wedding?

After signing in, open My Weddings and click Create wedding. Enter the wedding name, the partners' names, the date and the currency; you land straight in the new workspace.

Anything you set here can be changed later in Manage → Details, including the date and the currency used across the budget.

What should I do first?

The Home page shows a Getting started checklist with the highest-value first steps: complete the wedding details, invite your team, add guests, and start the budget.

A good order is: wedding details → import a task template → guest list → budget and vendors. The seating plan and the Wedding Visualizer are most useful once guests and the venue are known.

Can I start from a task template?

In Tasks you can import a starter template covering the usual wedding milestones, scheduled relative to your wedding date.

Imported tasks are ordinary tasks: rename, reschedule, assign or delete anything that does not apply to you.

How do I manage several weddings?

The My Weddings page lists every workspace you own or collaborate on, with key figures, a recently-opened carousel and a searchable, filterable table so you can jump to the right client or year.

Couple plans (Couple Free and Couple Premium) cover one wedding. Planner Studio allows unlimited active weddings, each with its own team.

Meetings from every wedding come together in the Workspace Agenda.

Do I need to install an app?

The product is fully responsive and works on phone, tablet and desktop with the same account and the same data.

On mobile you can add it to your home screen for a native-like experience, including offline access to pages you have already opened.

Guests & RSVP

Guest list, invitation groups, RSVP forms, communications and custom fields.

How do I add guests and invitation groups?

The guest list is organised by invitation, not by isolated names. Click Add guest, fill in the contact details, relation and preferences, and add the other people that invitation covers.

Each person inside an invitation is tracked individually — meal choice, dietary needs and seat — while RSVP and communications work at invitation level.

Can I import my guests from a spreadsheet?

Open the bulk upload dialog from the guest list and upload an Excel or CSV file. Map the columns and review the preview before confirming.

Import first, refine later: you can edit invitations, merge people into an invitation and add custom fields once the data is in.

What do the guest statuses mean?

Invited means the invitation was sent, Confirmed means attending, Declined means not attending and Tentative means undecided.

Statuses drive the rest of the product: declined invitations are kept out of the seats that still need filling, and counts feed the guest analytics.

What are custom fields?

Create text, number, checkbox or dropdown fields to track anything the standard guest record does not cover.

Custom fields can also be asked in a guest form, so answers arrive filled in, and every field is available as a filter and as a breakdown in guest analytics.

How do guest forms and RSVPs work?

In Guests you can build a form with your own questions, theme it with your colours and fonts, and use conditional rules so questions only appear when they are relevant.

Every invitation gets its own personal link. Responses — attendance, meal choices, allergies, plus-ones and any custom question — flow straight into the guest list, so there is nothing to reconcile by hand.

Can I message my guests?

Guest communications let you compose a single message with tokens such as the guest name, table or personal RSVP link, then send it to the invitations you have filtered.

Each send is recorded, so you always know who has been contacted and who still needs a nudge.

How do I filter and analyse my guest list?

Use the search box for names, the status tabs for RSVP state and the filters for relation, invited-by or any custom field.

The analytics view shows live breakdowns — RSVP distribution, dietary requirements, invited-by splits, custom-field counts — and every figure can be opened to see exactly which people it covers.

How do guests become seats?

Guests → Seating summarises your tables and who still needs a seat, and opens the full-screen seating plan workspace.

When an invitation covers several people — partners, plus-ones, children — each of them appears separately in the guest panel of the seating plan and is dragged to its own seat.

The seating plan workspace: tables, seats, constraints and export.

How does the seating plan work?

Open the seating plan from Guests → Seating or directly. It is a full-screen workspace: the floor plan on one side, the guest panel with everyone who still needs a seat on the other.

Add tables, position them on the floor plan, then drag people onto specific seats. The panel keeps showing who is still unseated so nothing is missed before the day.

Tables, seats and blocked seats

Tables can be round or rectangular with the capacity you set, and can be repositioned, rotated and scaled on the floor plan until it matches the venue.

To block a seat, click or tap it and choose Block seat in the seat panel — useful for head tables, reserved spots or uneven configurations. Unblock it the same way.

What happens to guests who declined?

The guest panel only asks you to seat people who may actually attend. Anyone whose invitation is declined is moved to a separate Not attending group.

If an RSVP changes later, the person reappears among those who still need a seat.

Can I export the seating plan?

From the seating plan workspace you can export a PDF of the floor plan and its table assignments.

Export again whenever the plan changes — the PDF is a snapshot, not a live document.

Planning

Tasks, wedding-day timeline, meetings and the Workspace Agenda.

How do tasks work?

Create tasks with a due date and, if you work with a team, an assignee. Move them across statuses as work progresses and filter by what is due or overdue.

Tasks assigned to you across the workspace are surfaced so you always see your own list first.

How do I build the wedding-day timeline?

In Timeline, add an event with a title, start time, optional end time and description. Events are ordered by start time, so changing the time repositions the event.

Start with the major milestones — ceremony, cocktails, dinner, party — then fill in transitions, vendor arrivals, photo sessions and buffer time.

What are musical moments?

Any timeline event can carry musical moments: a song name and, optionally, a playlist link.

This keeps the music brief attached to the moment it belongs to, which is what the band or DJ actually needs on the day.

Tasks vs Timeline

Use Tasks for everything that has to get done in the months before: book the florist, send invitations, confirm the menu.

Use the Timeline for the run of show on the day: when the ceremony starts, when dinner is served, when the band plays.

How do meetings work?

Create a meeting in Meetings with its start and end time, add attendees from the wedding team, and set a location or a video link. You can link the meeting to a vendor.

Upcoming meetings appear on Home for that wedding and, across all your weddings, in the Workspace Agenda. If you connect Google Calendar in account settings, meetings can be pushed to your calendar with a video link.

Meetings vs Timeline

A tasting with the caterer, a call with the florist or a venue visit is a meeting: it has attendees, a link or an address, and can sync to your calendar.

The Timeline only describes the wedding day itself, so it stays clean and printable as a run of show.

What is the Workspace Agenda?

The Workspace Agenda brings meetings together across every wedding you own or collaborate on, which is essential when you are running several weddings at once.

Each entry links back to the wedding it belongs to, so you can jump from the agenda into the right workspace.

Vendors & Budget

Vendors, quotes, budget modes, payment milestones and payers.

How do I track vendors and quotes?

In Vendors, add a vendor with its name, category, quoted price, contact details, notes and status so you can see the whole pipeline at a glance.

Considering means you are exploring, Contacted means you have reached out, Booked means confirmed and hired, Rejected means you decided against it.

How do vendors feed the budget?

When you add or edit a vendor you can assign it a budget category. Payments linked to that vendor then count automatically towards the category total.

This is what keeps the budget honest: quoted vendor prices become planned spend, and logged payments become actual spend.

How do I schedule a meeting with a vendor?

Go to Meetings, create the meeting, and link it to the vendor. Set the start and end time, add attendees from your team, and add a location or video link.

The meeting then shows on Home, in the Workspace Agenda, and — if Google Calendar is connected — in your own calendar.

How does the budget work?

Set your overall budget on the Budget page, then create categories such as Venue, Catering or Flowers with a planned amount each.

Every category shows planned versus actual spending with deviation indicators, so you can see early where the wedding is drifting over budget.

How do I log payments and milestones?

Inside any budget category, add a payment with its name, amount, date and payer, and link it to a vendor when relevant.

Payments are tracked against the category's planned amount, which turns deposits and instalments into a clear picture of what is already committed and what is still to come.

How do I track who is paying?

Add payers in the Budget page and assign them to individual payments. This replaces free-text notes about who covered what.

The result is a clean financial breakdown per payer, which is usually the first question families ask.

Documents & Inspiration

Managed and custom folders, file access, and the Idea Vault.

How are documents organised?

Documents separates managed folders — created automatically from the wedding's vendors and budget categories, so a vendor's contract lives with that vendor — from custom folders you create for anything else.

Upload PDFs, images, Word documents, spreadsheets and most common formats, or save a web link with a title. Files can be previewed in the browser, renamed and moved between folders.

Who can see my documents?

Files are scoped to the wedding they were uploaded to. Collaborators you invited to that wedding can see and manage them; other users cannot, and guests never have access to the documents area.

Download links generated for a file are temporary and expire, so a shared link does not become a permanent public URL.

What is the Idea Vault?

Save each idea with a name, a description, an image and a reference link — a Pinterest board, an Instagram post, a blog, or a photo you took at a venue.

Everyone with access to the workspace can vote each idea up or down, one vote per person, so it is easy to see what the team agrees on.

Ideas you complete or decide against move to the back vault, keeping the main vault focused without losing anything; restore them whenever you want.

Wedding Visualizer & AI

Spaces, elements, AI generations, AI credits and plan limits.

What is the Wedding Visualizer?

Upload a photo of your venue and describe the setup you imagine — florals, lighting, tablescapes — and the Wedding Visualizer renders a realistic preview in seconds.

You can iterate: adjust the description, change elements or ask for specific modifications, and save the versions you like.

What are Spaces and Elements?

Save the venue photos you work with as Spaces, and the décor references you like as Elements, so you do not re-upload the same images for every generation.

Uploading a venue photo is optional — you can also describe an ideal space and let the AI build it from scratch — but real photos give far more useful results.

How many AI generations do I get?

Generations are included with your plan rather than unlimited for everyone: Couple Free includes 5, Couple Premium includes 25, and Planner Studio is unlimited under fair use, with a soft review threshold above 300 generations per workspace.

Extra generations can be purchased in credit packs of 10. Your remaining balance is shown in account settings under AI credits.

Collaboration & account

Team access, planner/couple collaboration, profile, language and branding.

How do I invite my team?

Open Manage → Team inside a wedding and invite your partner, your planner or a family member by email. They receive an invitation and join that workspace.

Collaborators see and work on the wedding they were invited to, and nothing else. Couple Free has no collaboration; Couple Premium includes one collaborator; Planner Studio includes unlimited collaborators across unlimited weddings.

Profile, language and notifications

Account settings hold everything that belongs to you rather than to a wedding: your profile and photo, your interface language, your notification preferences and your connected integrations.

The language you choose applies to your account only — collaborators keep their own language.

Can I add my own branding?

Workspace branding lives in Manage → Branding and is included with Planner Studio: upload a logo and it appears in the header of the planning workspace.

Independently of your plan, guest forms can be themed with your own colours and fonts in the form editor.

Which plan should I choose?

Couple Free covers one wedding with up to 150 guests, plus budget, vendors, tasks, timeline, meetings, documents, the seating plan and 5 Wedding Visualizer generations.

Couple Premium is a one-time upgrade for your own wedding: unlimited guests, 25 AI generations and one collaborator.

Planner Studio is a monthly or yearly plan for professionals: unlimited active weddings, unlimited guests, unlimited collaborators, unlimited AI generations under fair use, custom branding and priority support.

Prices are shown in your country's currency on the pricing page.

Can I change the currency?

Go to Manage → Details and choose a different currency; every budget amount and payment display updates to it.

The currency you are charged in for a plan is derived from your country and is separate from the wedding's budget currency.

Upgrades, cancellation and refunds

You can upgrade from Couple Free at any time. Couple Premium is a single one-time payment that permanently unlocks that wedding workspace.

If you cancel Planner Studio you keep what you paid for until the end of the current billing period, after which workspaces revert to Free limits. No data is deleted, and you can resubscribe later.

Can I export my data?

Request an export from Manage → Export. It packages guests, budget, vendors, timeline, tasks, meetings and documents into an organised archive.

Exports are prepared in the background; when the file is ready you get an email with a download link that expires after a while for security.

Is my data secure?

We use industry-standard encryption, secure cloud storage and strict per-workspace access controls, so a user can only reach the weddings they own or were invited to. Payment details are handled by Stripe and never touch our servers.

We comply with the GDPR: you can export your data, request deletion, and review the privacy policy, subprocessors and data processing agreement on the public site.

How does the calendar integration work?

In account settings you can connect your Google Calendar. Once connected, a meeting you create can be added to your calendar, optionally generating a video meeting link and inviting the attendees.

You can reconnect or disconnect at any time from the same place; disconnecting stops any further calendar access.

Can I delete my account?

You can permanently delete your account from account settings. This removes the workspaces you own together with their guests, documents and uploaded files.

Deletion cannot be undone, so export your data first if you want to keep a copy.
